Cancellation & Rescheduling of Virtual Reality Services

WolfVR Photography — Terms & Conditions

Please read these Terms & Conditions carefully. By booking services with WolfVR Photography ("WolfVR," "we," or "us") and checking the acceptance box on the booking form, you agree to be bound by these terms.

  1. Definitions
  • Client: the person or entity contracting WolfVR for services.
  • Property: the address provided on the booking form.
  • Services: photography, video, virtual tours, and other media services ordered from WolfVR.
  • Photo‑ready: property is clean, accessible, free of major clutter and personal items, and prepared for photography at the scheduled appointment time.
  • Final deliverables: the edited photos and/or video files delivered electronically to the client.

    2. Booking, Deposits, and Payment

  • Deposit: A 50% down payment is required to confirm and hold all bookings unless services were provided after prior written approval of terms and conditions. The remaining balance is due prior to release of final deliverables.
  • Preferred payment method: Credit card (fast form).
  • Accepted payment methods: Credit card, ACH, check, or cash.
  • Payment requirement: Final deliverables will not be released until full payment is received.
  • Taxes and fees: Applicable sales tax and any travel or additional fees will be invoiced and are payable with the balance.

    3. Cancellation and Rescheduling

  • Client cancellations/rescheduling: Client must notify WolfVR at least 24 hours prior to the scheduled appointment to avoid fees. Notice must be sent to michal.catari@wolfvre.com or by phone to (248) 910-1754. The timestamp at receipt will determine timeliness. Late cancellations (less than 24 hours’ notice) may be charged a 20% late cancellation fee of the scheduled shoot price. No‑shows may be billed up to 100% of the scheduled shoot price.
  • WolfVR cancellations/rescheduling: WolfVR may cancel or reschedule due to illness, equipment failure, safety concerns, severe weather, or other operational reasons. If WolfVR cancels, WolfVR will offer the client the next available appointment. If the client is unwilling to accept a rescheduled date, a full refund for the canceled service is available (some restrictions may apply; WolfVR will disclose any such restrictions at cancellation).

    4. Delivery / Turnaround Times

  • Standard estimates: Photos — 24 to 48 hours after the shoot. Video — 2–4 business days after the shoot. These are estimates and may vary with workload, time of day, or other factors.
  • No refunds for late delivery: Because conditions and client needs can change, WolfVR will not provide refunds for missed or delayed delivery windows. WolfVR will notify clients of any expected delay and propose a revised delivery date.

    5. Scope of Work and Fees

  • Square footage and scope: Charges are based on the square footage and the specific areas the client requests be photographed (including basements, sheds, guest houses, etc.). The fee applies to all areas photographed during the session.
  • Confirmation: Quoted prices are based on information provided by the client and confirmed at the time of the shoot. If additional areas are later requested or photographed, additional fees will apply and will be invoiced to the client.
  • Additional fees: Additional fees may apply for travel, staging assistance, excessive cleanup required at the shoot, extra revisions, reshoots, or other out-of-scope requests. WolfVR will notify the client of any additional fees before performing billed extra work when practicable.

    6. Travel Fees

  • Travel fees apply for locations beyond Royal Oak, MI. Travel time is measured one-way from WolfVR’s office (34522 Summers Street, Livonia, MI 48154) to the property using typical driving time at the scheduled appointment time (calculated by commonly available mapping software).
  • Current travel fee schedule (one-way travel time):
  • Over 40 minutes — $60
  • Over 60 minutes — $100
  • Over 90 minutes — $126
  • Over 120 minutes — $168
  • Over 150 minutes — $210
  • Over 180 minutes — $252
  • Travel fees are due with the balance payment.

    7. On‑Site Expectations

  • Photo‑ready: The client must ensure the property is photo‑ready. The photographer is not responsible for cleaning, staging, or moving personal items. If the property is not photo‑ready and WolfVR must wait or perform additional work, additional fees may apply.
  • Access: Client must provide safe access to the property, alarm codes, keys, lockbox codes, or an on-site contact as needed. WolfVR is not responsible for delays or charges caused by missing or incorrect access information.
  • Pets and safety: Pets must be contained or supervised in another area. Client is responsible for any hazards or unsafe conditions on the property and must inform WolfVR of known risks.

    8. Composition, Revisions, and Reshoots

  • Photographer discretion: Unless the client specifies otherwise on the order form, composition, framing, and the specific areas photographed are at the photographer’s discretion.
  • Revisions: Each ordered photo/video package includes one round of minor revisions (color, exposure, basic crop). Additional revision requests are charged at $80 plus tax per revision.
  • Reshoots: Reshoots requested because the client failed to specify required shots on the order form, the property was not photo‑ready, pets interfered, or other client‑caused issues occurred will be charged at standard reshoot rates. If WolfVR must reshoot due to an error by WolfVR, WolfVR will perform one corrective reshoot at no additional charge if scheduled within 14 days of delivery.

    9. Copyright, Usage, and Licensing

  • Copyright: WolfVR retains copyright in all photos, videos, and other deliverables.
  • License to client: WolfVR grants the client a non‑exclusive, non‑transferable license to use delivered images and video for marketing the current property listing (MLS, printed materials, websites, brokerage and agent marketing) for the duration of the listing. This license does not permit resale, retransmission, sublicensing, or transfer to third parties unless expressly authorized in a written license from WolfVR.
  • Third‑party usage: Any usage by third parties (other agents, brokers not directly involved in the listing, new owners, commercial re‑use) requires written approval and may require payment of an additional license fee.
  • Edits and credits: Client may perform basic cropping and resizing. Client shall not remove watermarks, alter copyright notices, or misattribute ownership. WolfVR may request attribution when images are published in third‑party media.

    10. Storage and Archival Files

  • WolfVR retains delivered files and selected source files for six (6) months from the date of the shoot. If client requests files after the six‑month archive period, a retrieval fee of $100 will apply. Long‑term storage or re‑delivery after the archive period may incur additional fees.

    11. Warranty, Liability, and Indemnity

  • Warranty: WolfVR will perform services in a professional manner consistent with industry standards.
  • Limitation of liability: To the fullest extent permitted by law, WolfVR’s total liability for any claim arising out of or relating to these Terms or the Services will not exceed the total fees paid by the client for the specific shoot giving rise to the claim.
  • No consequential damages: WolfVR is not liable for indirect, incidental, special, or consequential damages, including lost profits or loss of business.
  • Indemnity: Client agrees to indemnify and hold WolfVR harmless from claims, damages, and expenses arising from client’s breach of these Terms, unauthorized use of the deliverables, or failure to disclose known hazards at the property.

     12. Weather and Force Majeure

  • Weather: Client may elect to reschedule for adverse weather without penalty if requested prior to the shoot. WolfVR may reschedule if weather conditions threaten safety or equipment. Exterior image quality may be affected by weather; WolfVR is not liable for weather‑related aesthetic outcomes.
  • Force majeure: WolfVR is not liable for delays or failure to perform resulting from events beyond its reasonable control (natural disasters, strikes, public health emergencies, acts of government, power outages, etc.). WolfVR will make reasonable efforts to reschedule or provide alternatives.

     13. Cancellation by Client for WolfVR‑Cancelled Jobs

  • If WolfVR cancels and the client does not accept a proposed rescheduled date, the client may receive a full refund for services canceled by WolfVR, subject to any stated restrictions (WolfVR will disclose any such restrictions at cancellation).
  • Refund processing: Refunds will be processed within five (5) business days and issued in the same form originally received by WolfVR (credit card, ACH, check, or cash), subject to any payment processor timing for credit card or ACH refunds.

     14. Disputes, Governing Law, and Venue

  • Governing law: These Terms are governed by the laws of the State of Michigan.
  • Venue: Any dispute arising under these Terms will be resolved in the state or federal courts located in Oakland County, Michigan.

     15. Changes to Terms

  • WolfVR may update these Terms occasionally. Material changes will be posted on wolfvre.com or provided to clients at booking. Continued use of services after notice of changes constitutes acceptance of the revised Terms.

     17. Booking Confirmation and Agreement By checking the acceptance box on the booking form, the Client confirms:

  • they have authority to allow WolfVR entry to the Property;
  • they agree the Property will be photo‑ready at the scheduled appointment; and
  • they have read and agree to these Terms & Conditions.

     18. Model / Property Release (sample) Use this release if occupants, visitors, or third parties may appear in images or video. A fuller release tailored to multi‑occupant residential shoots is available on request.

  • What we collect: Client name, email, phone, property address, booking details, payment information needed to complete a transaction, and any access or security notes provided for the shoot.
  • How we use it: To schedule and perform services, communicate about bookings, process payments, deliver final files, and comply with legal obligations. We may use images for our own marketing in accordance with the licensing and release provisions above.
  • How we store it: Client contact and booking information is stored on WolfVR systems and third‑party services we use for scheduling and payment processing. Access is limited to authorized WolfVR staff and service providers.
  • Retention: Contact and booking data is retained as long as necessary to provide services, comply with legal obligations, and support customer inquiries. Image files are archived for six (6) months from shoot date, after which retrieval fees apply.
  • Sharing: We do not sell client contact information. We may share data with payment processors, scheduling platforms, or contractors where necessary to perform services. We will obtain third‑party usage permission before licensing images to unrelated parties.
  • Security: We apply commercially reasonable administrative, physical, and technical safeguards to protect client data.
  • Requests: Clients may request access, correction, or deletion of their personal contact data by emailing michal.catari@wolfvre.com. Certain operational or legal requirements may limit deletion of transaction records.

Model / Property Release (two‑page, e-signature ready)

WOLFVR PHOTOGRAPHY MODEL / PROPERTY RELEASE

For good and valuable consideration, receipt of which is acknowledged, I hereby grant WolfVR Photography, its licensees, agents, assigns, and legal representatives (collectively "WolfVR") the irrevocable right to photograph and/or video me and/or the property located at the address below, and to use, publish, reproduce, edit, modify, adapt, distribute, display, and otherwise exploit such images and video, in whole or part, in any medium now known or later developed, worldwide, in perpetuity, for advertising, marketing, promotional, editorial, and commercial purposes related to the Property listing and WolfVR’s services.

I understand and agree that:

  • Copyright. WolfVR retains all copyright and ownership in the images and video.
  • License. I grant WolfVR a perpetual, royalty-free license to use the images and video for WolfVR’s portfolio, promotional materials, website, social media, and related marketing, unless otherwise agreed in writing.
  • Waiver of Rights. I waive any right to inspect or approve the finished images or the manner of their use and release WolfVR from any claims related to the use of the images and video.
  • Compensation. I acknowledge that I will not receive any additional compensation for the use of the images and video beyond any fees paid to WolfVR for photography/videography services.
  • Minor(s). If the person appearing in the images or video is a minor, a parent or legal guardian must sign below and provide their full name and relationship.
  • No Liability. I release and hold harmless WolfVR from any claims, demands, liabilities, losses, or damages arising from the use of the images or video.
  • Authority. I represent that I have the authority to grant this release for the property owner(s) if signing on behalf of an owner or entity.
